Executive Board and Committees

The FGBBA Executive Board and committee chairs direct activities of the association.

Executive Board

The Executive Board is elected by a quorum of the full boosters association at the end of each academic year.

President

  • Calls and presides over General Membership and Board meetings

  • Coordinates the work of the officers and committees of the organization

  • Is an ex-officio member of all committees, except the Nominating Committee

  • Serves as a representative of the Booster organization in interactions with the school administration, district officials, and external stakeholders

Treasurer - (Accounts Payable)

  • Tracks expenditures in accordance with the provisions in the annual budget

  • Makes disbursements as authorized by the Executive Board

  • Presents FGBBA financial statements to Executive Board and General Membership

  • Files required tax forms

  • Serves as the leader of the Budget Committee

Assistant Treasurer - (Receivables)

  • Tracks receipts in accordance with the provisions in the annual budget

  • Maintains accurate fair share balances and provides up-to-date information when requested

  • Communicates with band families that require financial aid assistance or adjusted terms

  • Serves on the Budget Committee

  • Supports fundraising activities by coordinating, tracking, and reporting income

VP - Communications/Secretary

  • Takes minutes of each board and general meeting

  • Maintains a copy of previous and current bylaws and have current bylaws available at every Board Meeting

  • Maintains and updates band calendar, website and social media platforms

  • Maintains accurate contact information for all students and guardians

  • Communicates with students and guardians using Band app, social media, email, and other means as needed

VP - Fundraising

  • Coordinates and oversees activities of fundraising chairs

  • Together with the President and Treasurers, ensures that the fundraisers align with the organization's overall plan and that they follow IRS and NC Secretary of State fundraising rules

  • Reviews and updates sponsorship levels to ensure that appropriate benefits are delivered to sponsors based on their sponsorship level

  • Coordinates a financial review committee to go over bank statements each month

VP - Volunteers

  • Works with band director and board to determine volunteer needs at football games, competitions, and other band events

  • Posts and monitors volunteer requests in CutTime

  • Ensures chaperones and volunteers have information and/or training for their roles, and answers questions as they arise

  • Actively educates band families about the necessity of volunteering

VP - Logistics

  • Communicates band travel information on a timely basis, including maps to competition locations

  • Oversees and coordinates with Props and Transportation Committee Chairs

  • Maintains safety, organizational, and construction-related needs of the band

  • Maintains stock of first aid kits and other supplies; communicates needs for purchasing to board

Committees are formed and chairs appointed by the executive board.

Fundraising Committees

  • Sponsorships

  • AIA Event

  • GoPlaySave Sale

  • Other fundraising initiatives (spirit nights, etc.)

Transportation Committee

  • Makes necessary reservations for truck/trailers

  • Coordinates drivers for competitions/events

  • Plans and oversees safe transport of band instruments, equipment, uniforms, and props to competitions and performances

  • Coordinate maintenance of transportation equipment as needed

Props Committee

  • With VP Logistics and Band Director, determine prop/visual needs for marching band and indoor shows

  • Organize crew to build and maintain props

  • Assist with band equipment maintenance as needed

Color Guard/Winter Guard Committee

  • Serves as communication liaison between Mr. Foster, instructors, and parents

  • Measures students for uniforms and works with Uniform Committee to order uniforms and accessories

  • Manages and distributes guard supplies, including makeup, accessories, etc.

  • Helps the guard with their hair for the performances

  • Coordinates with other committees — transportation, uniforms, etc. — as needed

IPE Committee

  • Serves as communication liaison between Mr. Foster, instructors, and parents

  • Measures students for uniforms and works with Uniform Committee to order uniforms and accessories

  • Plans meals and snacks for camp days and competitions

  • Educates chaperones on how to “push” during competitions

  • Coordinates with other committees — transportation, uniforms, etc. — as needed

Uniforms Chair

  • Organizes uniform fittings before marching season

  • Assigns uniform pieces to students and tracks in CutTime,

  • Keeps the uniforms looking great and in good repair with help from committee and parent volunteers

  • Ensures uniforms are organized for easy transportation to competitions and parades

  • Orders uniform replacement parts, marching band shoes, gloves, and other accessories as needed

New Members Liaison

  • Serves as the primary contact person for new-to-band parents to help familiarize them with all aspects of the band

  • Maintains a dedicated band email address to field questions and concerns from parents who are new to marching band

  • Assists the Band Director by actively encouraging and organizing communications and events to educate rising 9th grade band parents about the various high school band programs, including their purpose, history, cost, procedures, volunteer opportunities, and educational value

  • Helps organize 8th grade night during the fall marching band season

Social Media Chair

  • Post updates to social media 1 - 3 times / week (depending on what is happening)

  • Coordinate with board and staff, especially VPs of Communications and Fundraising, for consistent messaging.

  • Maintain band Facebook page

  • Cover big events like band camp, games, competitions as they come up

  • Participate in board meetings as needed

Merchandise Chair

  • Work with the Uniforms Chair to order show shirts for each season

  • Work with the merchandise vendor to design, launch, and manage the online band store

  • Solicit input from band members and patrons to inform merchandise selection

  • Serve as the primary point of contact for merchandise inquiries and troubleshoot issues as needed

  • Coordinate with the VP of Fundraising to ensure merchandise pricing supports fundraising goals
